Job Description:

Reporting to the Vice President of Facilities(VP), the Assistant Vice President of Planning and Capital Projects (AVP) is responsible for management and oversight of strategic planning initiatives, the capital improvement program and project delivery, space management and planning, and implementation of relative best practices. The AVP will assist the VP of Facilities in the oversight of overall facilities operations including, planning, real estate and capital projects, and developing a culture for process improvement and service orientation with the Facilities division.

The AVP is specifically responsible for overseeing campus master planning and space utilization efforts; leading efforts to define space and design standards; supervising project managers responsible for capital renewal projects, major renovations, and new construction projects; contributing to the development and organization of project management processes and procedures to support the activities of the Capital Projects & Planning group; and working in conjunction with the VP of Facilities to ensure that all Capital project needs of the Berklee planning and real estate team are met.

The position requires a transformational, positive, forward-looking, accountable leader who can lead and collaborate in a fast-moving environment and support Berklee’s mission.

Essential Functions:

  • Provides day-to-day management and leadership for the Capital Projects & Planning Group, developing, implementing, and directing major capital planning, design and construction projects and initiatives.

  • Plans and participates in the planning of new construction and major renovations and supervises the entire project delivery process, including evaluating proposed designs, budgets, and schedules. Participates in the advancement of the Capital Improvement Program, including development and oversight of a rolling 5-year plan for projects, tracking priorities, and monitoring implementation.

  • Assists in the development of scope, schedule, and budget for each project.

  • Manages the Facilities strategic planning process for the Berklee, including leading master planning efforts, space utilization analysis and recommendations, and campus and facilities studies.

  • Oversees the creation of facilities condition information and participates in developing a system for keeping the information up to date.

  • Meets regularly with direct reports and Facilities staff to review current and future projects and resolve matters which may impact current and/or future projects and initiatives.

  • Reviews projects upon completion to determine if project management goals were met.

  • Coordinates the planning for new construction and major renovation projects working with the VP of Facilities, the Director of Facilities, Berklee’s senior management team, the Board of Trustees, relevant College stakeholders, and local communities ensuring projects are properly authorized, funded, environmentally and sustainably sound, completed in a timely, cost-effective manner, achieve appropriate quality levels, and meet the needs of the end users.

  • Supervises project manager(s) and inspects field conditions and progress of work against project schedule, plans, and specifications.

  • Develop clear, compelling, and financially sound rationale and advocacy for operating and capital budgets and be accountable and responsible for managing those budgets.

  • Proactively prioritize management of maintenance and capital projects and effectively deploy and manage resources in a fast-moving, high-demand environment.

  • Oversees the management of campus space, floor plans, and ensures best practices for campus planning are followed.

  • Assist in creating and maintain college wide standards for furniture fixtures and equipment as appropriate.

  • Maintain Berklee Facilities efforts to increase accessibility across the Boston campus, prioritizing capital investment in making Berklee a more inclusive campus.

  • Actively works with senior leaders across campus to communicate timely and accurate dissemination of key data to define space needs, changes, and funding required to achieve programmatic goals.

  • Develops and maintains positive working relationships with key campus departments including but not limited to, the school deans, residence life and student affairs, public safety, risk management, and business and finance.

  • Manages and coordinates planning and feasibility studies including preparing program information, coordinating work of interdepartmental groups, and working with all levels of the organization.

  • Manages vendors supporting these efforts where required. Reviews planning and contract documents, in collaboration with Berklee Counsel, prepared by outside consultants to ensure compatibility with Berklee standards and requirements as well as project goals.

  • Works to ensure appropriate selections and negotiations of service level agreements with vendors, contractors, architects, business partners, etc.

  • Works to incorporate sustainability standards and processes into projects wherever possible.

  • Prepares financial analysis and preliminary total project cost estimates.

  • Contributes to the efforts with regulatory agencies for all permitting processes related to capital projects.

  • Assumes additional responsibilities as required.

YOUR TEAM WILL INCLUDE:
Director of Facility Planning, a Planner, Capital Project Manager, third-party management of Capital Project Management Consultants, Architects, Engineers, and Contractors

EDUCATION AND SKILLS YOU WILL NEED:

  • Bachelor’s degree and a minimum of 10 years of capital project management experience, with at least 5 years of experience managing staff and a budget.

  • Must have a thorough understanding of the major design and construction management processes including community-driven design, consultant management, bidding, contract management, insurance, safety, change management, budget management and schedule review and management.

  • Must have strong technical skills to read and understand design drawings and specifications, including the ability to review architect’s submissions and provide owner feedback.

  • Knowledge of and experience with Commercial Real Estate development and strategy Knowledge of applicable building codes and regulations.

  • Must have excellent team skills, ability to understand and synthesize the thoughts of others, and to work in a fast-paced, continually adapting work environment; experience with computer based work, and must be a fast learner.

  • Demonstrated technology competence with an appreciation and skill to apply technology in departmental operations.

  • Thorough knowledge of design and construction practices, project budget development, scheduling, tracking, and control.

  • Strong leadership capability, and ability to effectively translate plans into tangible, achievable goals.

  • Strong knowledge of design and construction industry contracts and essential components of an effective contract.

  • Demonstrated understanding of the value of the contract as a useful tool in project management. Must have excellent verbal and written communication skills along with a demonstrated ability to effectively communicate complex technical concepts to non-technical audiences in a concise manner.

  • Strong customer service orientation. Exceptional leadership and supervisory skills.

  • Demonstrated success in managing professional staff and maintaining a team-oriented culture Demonstrated effectiveness in working with a diverse student body, faculty, staff, and other constituents.

  • Ability to establish creditability and confidence with stakeholders. Flexibility and willingness to assume new tasks and special projects.   • Experience managing a team.

  • Must have strong technology skills including proficiency in Microsoft Office (Word, Excel, Access, PowerPoint); Microsoft Project; and the Google suite of applications.
