POSITION SUMMARY & ESSENTIAL FUNCTIONS
The Administrative Assistant will provide administrative support to the VP of Marketing and to other Directors in the Marketing department.
- Exercise discretion and judgement regarding highly confidential and external communications with generally defined practices, administrative duties and policies
- Maintain budget and expense tracking for VP of Marketing and the team. Forecasting expenses determining needs and priorities and establishing a plan for the allocation of funds
- Review and reconcile invoices on Basware; code and process invoices and other documents
- Communicate regularly with vendors; prepare invoices and collect outstanding items
- Manage calendar/phone/mail for office of the VP of Marketing and other department Directors
- Prepare PowerPoint presentations and supporting materials
- Manage all travel, ground transportation, registrations, dinner arrangements, meetings on-site, etc
- May come in contact with company trade secrets, confidential information, and intangible assets
- Concur expense reporting - prepare reports for department Directors
- Update and maintain the People Master store relationships for field team
- Prepare and send LSM Workshop materials
- Update and maintain department organization chart
- Send birthdays and anniversary cards to all department "roadies"
- Maintain vendor invoice binders
- Assist with department events; i.e. Development Meetings, Outing
- Proof and edit marketing material as needed
- Any other function deemed necessary by the VP of Marketing and department Directors

POSITION QUALIFICATIONS
Associate's Degree required, Bachelor's degree preferred. Experience may be substituted for education.
4-5 years in an administrative role supporting executives, a department, a specific program, preparing department invoicing, etc. Prefer 2 - 3 years industry experience.
Outlook/Word/Excel/PowerPoint a must
