Overview:

McGuireWoods is seeking to hire a Practice Assistant Supervisor in the Chicago office.The Practice Assistant Supervisor ensures the Practice Assistants, Practice Administrative Assistants, and other administrative staff they supervise provide the highest level of administrative support and client service to the firm's attorneys and clients. The PA Supervisor is an advocate for the success of the Staff and acts as a resource to them by proactively seeking solutions to achieve increased service and efficiency.The ideal candidates will approach their responsibilities with a strong sense of client-service, problem solving ability, confidentiality, and resourcefulness.

Responsibilities:
  • Supervise staff by interviewing, selecting, and training employees, setting and adjusting pay and work hours, preparing and conducting performance appraisals, coaching and counseling, and assigning and managing workflows.
  • Review and verify electronic time and attendance records for staff when necessary.
  • Coordinate and, when appropriate, conduct new administrative and departmental training.
  • Plan and participate in regular meetings with assigned staff, recommend agenda items, and contribute positively to office-wide staff meetings.
  • Assist proactively with overflow work for practice assistants.
  • Provide support for office meetings and hosted events as needed.
  • Manage employee relations concerns with direct reports.
  • Serve as a mentor and resource for assigned staff.
  • Collaborate with others to enhance staff resources and support.
Qualifications:
  • Requires high school diploma or equivalent and a minimum of three years of law firm experience.
  • 1-2 years of experience supervising 6+ employees.
  • Knowledge of legal terminology and processes.
  • Previous experience supporting attorneys in both litigation and transactional practices.
  • Knowledge of Microsoft Office products required.
  • Dedicated to providing an excellent client experience, promoting quality service and serving as a positive role model.
  • Proven ability to effectively and consistently communicate professionally with all levels of personnel and develop and foster collaborative environment among Staff, attorneys, personnel and manager.
